Artificial Intelligence (AI) Policy

This Policy constitutes a supplementary document to the Terms of Service and the Privacy Policy of the doctorcalls.gr platform and shall be interpreted in conjunction with them.

1. Scope

This Artificial Intelligence Policy (hereinafter the “Policy”) applies to the use of the services of the doctorcalls.gr platform, which is owned and operated by Domi Medical Smpc (hereinafter the “Company”), and concerns every customer, user, or visitor who utilizes artificial intelligence (AI) functionalities integrated into the Platform.

This Policy governs, in particular: (a) the use of artificial intelligence systems, (b) the processing of personal data through AI, (c) the responsibilities of users, and (d) security and confidentiality measures.

2. Description of Artificial Intelligence Technologies

The Platform incorporates artificial intelligence technologies, including, indicatively:

  • Voice AI Agents (Digital Representatives),

  • automated voice interaction systems,

  • natural language processing (NLP) tools,

  • summarization, categorization, and communication workflow automation functionalities.

The above technologies operate based on algorithmic models and may utilize infrastructure and services provided by third-party artificial intelligence providers.

3. Personal Data Protection

The Company is committed to processing personal data in accordance with: (a) the General Data Protection Regulation (EU) 2016/679 (GDPR), (b) the applicable Greek legislation, and (c) its contractual obligations toward users.

The processing of personal data through artificial intelligence systems takes place exclusively to the extent necessary for the provision, operation, security, support, and optimization of the Platform’s services, in accordance with the applicable documents (Terms of Service, Privacy Policy, and, where applicable, the DPA).

The Company implements appropriate technical and organizational security measures, including, indicatively, encryption, access control, event logging, and data minimization.

4. Use of Data for AI System Training

The Company does not use users’ personal data for the training or improvement of proprietary artificial intelligence models unless there is an express contractual provision or another lawful basis for processing under the GDPR.

It is clarified that: (a) data/parameters entered by the customer for the configuration or customization of Digital Representatives may be used exclusively for the operational optimization of the specific account/project, and (b) where third-party AI services are used, data may be processed in accordance with the terms and policies of such providers.

The Company shall not be responsible for the independent data processing policies of third-party providers. The user/customer is required to consult the respective privacy policies and terms of use of such providers.

5. Roles of the Controller and the Processor

The roles of the parties are defined as follows:

  • For data provided by the user/customer for the purposes of account creation, billing, support, or subscription management, Domi Medical Smpc acts as the Data Controller.

  • For third-party data (e.g., end recipients of calls/communications) processed by the customer through the Platform and the AI Agents, the customer acts as the Data Controller and the Company acts as the Data Processor, in accordance with the applicable Data Processing Agreement (DPA).

The customer bears sole responsibility for: (a) the lawful collection and transfer of the data, (b) the existence of a lawful basis for processing, (c) informing the data subjects, and (d) complying with the GDPR obligations applicable to the customer.

6. Limitations and Risks of AI Systems

Due to their nature, artificial intelligence systems may produce inaccurate, incomplete, or outdated content or results (algorithmic errors). The Company:

  • does not guarantee the absolute accuracy or completeness of results generated through AI,

  • shall not be liable for decisions or actions taken solely on the basis of AI-generated results without human supervision,

  • recommends the implementation of appropriate human verification mechanisms, particularly where the results may have legal or significant consequences.

The use of AI functionalities is carried out at the user/customer’s own responsibility, in accordance with the Terms of Service.

7. Data Disclosure

The Company does not disclose personal data to third parties without a lawful basis for processing and/or, where required, without the valid consent of the data subject, unless:

  • required by law or by request of a competent authority,

  • necessary for the provision of the service through contracted sub-processors (under appropriate agreements and safeguards),

  • otherwise permitted under the Terms of Service, the DPA, and/or the Privacy Policy.

Where the Platform is connected with third-party services, the user/customer acknowledges that data transfer and/or access to the data by such third parties may occur and is required to consult their respective policies.

8. Users’ Rights

Data subjects retain the rights provided by the GDPR, including, indicatively, the right of access, rectification, erasure, restriction of processing, data portability, objection, and, where applicable, the right not to be subject to decisions based solely on automated processing.

These rights may be exercised through the account settings or by contacting the Company in accordance with the procedures set out in the Privacy Policy.

9. Policy Amendments

The Company reserves the right to amend this Policy for reasons of regulatory compliance, technological developments, or business needs. The updated version shall be published on the Platform and shall become effective upon publication unless otherwise required by mandatory legal provisions or the Terms of Service.
